Telegram Chat Backup for Business: How to Export Chats and What the Export Misses

Somebody on your team asked "do we have that in writing?" this month, and the answer lived in one person's Telegram. Maybe you scrolled for it. Maybe you went looking for a way to export the chat and found three tutorials that all stopped at the menu path. Here is the number that should make a business owner sit up: Telegram's FAQ says an account that does not come online for 18 months is deleted by default, and deleting an account permanently removes all of its messages and contacts.

This guide covers the export properly: where it is, what each option does, HTML versus JSON, and what ends up in the folder. Then it covers the part the tutorials skip. A Telegram chat backup made by one person on one laptop protects you from the failures that rarely happen and leaves you exposed to the one that happens most, which is a person with access walking away with the history or quietly changing it.

Telegram already stores your cloud chats, except Secret Chats

Before exporting anything, be clear about what Telegram already keeps for you. Ordinary chats are cloud chats. The Telegram FAQ describes them as stored encrypted in the Telegram cloud and available from any of your devices, even if you lose your phone. Cloud chat data sits in multiple data centers, according to the same FAQ.

Secret Chats are the exception. The FAQ states that secret chats are device-specific and are not part of the Telegram cloud. They exist only on the devices where the conversation took place. Lose the device, or log out, and those messages are gone.

So for a lost phone, Telegram is its own backup. The cloud does not protect you from the people who can act on the chat:

What happens Does the Telegram cloud protect you? Why
You lose or replace your phone Yes Cloud chats sync to any device you sign in on
A message is deleted for both sides No The FAQ says you can delete any message you sent or received for both sides in a one-on-one chat
The account is deleted, by its owner or by inactivity No Deletion removes all messages and contacts
The person who holds the account leaves your company No The history leaves with whoever controls the account
A Secret Chat device is lost or logged out No Secret Chats were never in the cloud

Four of those five rows are about people and account ownership, not about Telegram's servers. Keep that in mind for the rest of this guide.

How to export a Telegram chat history from Telegram Desktop

Telegram shipped its export tool in August 2018, in Telegram Desktop. There are two entry points: one chat at a time, or the whole account.

Export one chat with "Export chat history"

Use this when you need a single conversation, such as a client thread before a dispute or a supplier chat before a contract renewal.

Open the chat in Telegram Desktop
Click the three-dot menu in the chat header
Choose "Export chat history"
Pick media types, size limit, format and date range
Click Export

The dialog lets you choose which media to include (photos, videos, voice messages, video messages, stickers, GIFs and files), a size limit for files, a download path, the format, and a date range set as "From" and "to". Leaving the range at its defaults exports everything from the oldest message to the present. These labels come straight from Telegram Desktop's own source, so they match what you see on screen.

Export the whole account with "Export Telegram data"

Use this when a person is leaving, an account is at risk, or you are taking a baseline copy of an account for the first time.

Telegram Desktop: Settings, then Advanced, then Export Telegram data

This export is broader. Besides chats, it can include account information (display name, username, phone number, profile photos), the contacts list, the story archive and active sessions. For chats you pick the types one by one: personal chats, bot chats, private groups, private channels, public groups and public channels. There is also an "Only my messages" option, which trims group exports down to what that account wrote.

Telegram may make you wait for a full export. Telegram Desktop's source contains a message saying that, for security reasons, the download can be delayed by a number of hours, that all of your devices have been notified about the request, and that you must repeat it later from the same device. If you are exporting because an account is about to be lost, start today, not on the deadline.

HTML or JSON: pick by what happens to the file next

The export offers "Human-readable HTML", "Machine-readable JSON", or both.

  • HTML opens in a browser and looks like a chat. Choose it when a person will read the file: a manager reviewing a thread, a lawyer, an auditor.
  • JSON is structured data. Choose it when the file is going somewhere else: a script, a spreadsheet, a database, a search index.
  • Both costs disk space and nothing else. For anything you might need in a dispute, take both. You will not know in advance whether the next reader is a person or a program.

What lands in the folder, and what does not

Included when selected Not included
Cloud chats of the types you ticked Secret Chats, which are not in the cloud and are not among the chat types the export offers
Media within the size limit you set Files above the size limit, which are skipped
Messages in the date range you set Messages deleted for everyone before you ran the export
The current text of edited messages The earlier wording of an edited message
Account info, contacts, sessions (full export only) Anything another person can see but this account cannot

That last row matters more than it looks. An export is one account's view of Telegram. It cannot include a group the account has left, a chat it was never in, or a conversation a colleague had on a different account.

Why a Telegram export is not a business backup

For a person backing up their own chats, the export is enough. For a company, it fails in four specific ways.

It is a snapshot. The export reads each chat as it stands at the moment you click the button. Anything deleted before then is absent, and anything edited before then shows only its final form. Anything deleted or edited after the export is still in your copy, but nothing tells you it changed. You end up with two versions of the truth and no log of the difference.

It is one person's view. Each export belongs to one account. A team running 12 accounts needs 12 exports, each started by someone signed into that account, each with its own waiting period if Telegram applies one. Nobody runs that daily, so in practice nobody runs it at all until something has already gone wrong.

It lives on one laptop. The default download path is a folder on the machine that ran the export. Unless someone moves it into company storage, the backup has the same failure modes as the laptop: theft, a wiped drive, a forgotten password.

It leaves with the employee. This is the one that costs money. The person who can export a chat is the person who holds the account session. If that is a salesperson using their own number, then the account, its cloud history and every export of it are theirs when they resign. Your company never held a copy.

If the problem you are actually facing is a message that was already deleted, an export will not bring it back, and nothing else will either. Our guide to Telegram deleted messages and audit trails covers that case in detail.

The biggest risk to your Telegram history is your own team

Security writing about messaging apps is mostly about outsiders: encryption, server breaches, stolen SIM cards. Those are real, and two-step verification is worth turning on for every business account. But look again at the table at the top of this guide. Telegram's cloud already handles the lost phone. What it cannot handle is a person with legitimate access who deletes a thread to cover a mistake, or exports the contact list on their last Friday.

That is not a hypothetical about bad people. Telegram's export tool is a privacy feature built for account owners, and it works exactly as designed: whoever controls the session can take the data. The same button that backs up a chat for you backs it up for someone leaving for a competitor. A backup plan for a business has to start with who controls the accounts, because the export goes wherever the account goes.

The boundary on this argument: if your team is three founders who all own their accounts and trust each other, the risk is small, and a monthly export into shared storage may be all you need. The argument gets stronger with every account you add, every contractor you onboard and every rep who joins with their own phone number.

What a durable record looks like in Entergram, and where it stops

Entergram is a CRM layer on top of real personal Telegram accounts, built to manage 100+ of them in one interface. Several of its features bear on the backup problem. None of them is a message backup, and the limits below are as important as the features.

Slack keeps a running copy, one way, one channel per seat

Entergram's Slack integration is positioned as an audit log. Each seat connects its own Slack workspace and picks one public or private channel. Entergram then relays every Telegram chat that seat can access into that channel, so the record builds itself instead of waiting for someone to run an export.

The limits, stated plainly:

  • It is one-way. Telegram flows to Slack. There is no replying from Slack back to Telegram.
  • It is one channel per seat, not per account. If one seat can access eight accounts, all eight flow into that seat's single channel. Separate restricted records need separate seats.
  • Deletion behavior is not confirmed. Whether a message deleted on Telegram stays in the Slack channel is decided in Entergram's backend and has not been confirmed. Do not build a compliance process on the assumption that it does until you have tested it in your own workspace.
  • Slack's retention decides how long the copy lasts. On Slack's Free plan, message history is visible for 90 days and content older than a year is permanently deleted. On paid plans, Slack's retention settings default to keeping data for the lifetime of the workspace, and Workspace Owners can change that. Set it deliberately.
  • Treat it as recording from the day you connect it. Backfill of older history is not documented, so run a Telegram export of each account's existing history on the same day so there is no gap.

Privacy controls stop the edit and the delete inside the workspace

Entergram has four controls aimed at internal data leakage: hide usernames, hide group member information, prevent users from editing messages, and prevent users from deleting messages. The last two keep your side of a conversation intact at the source, which is better than any backup because there is nothing to restore.

The limits: these controls govern what workspace members can do through Entergram. They cannot stop the other party in a chat from deleting their own messages. They also do not reach a Telegram app signed into the same account on somebody's phone, so the account's sessions are part of the control. Review them in Telegram under Settings, then Devices (Telegram's FAQ calls it Active Sessions), and end the ones that should not exist.

HubSpot and Notion sync fields, not messages

It is easy to assume a CRM sync is also a chat archive. These two are not. The HubSpot integration maps each chat to a HubSpot Contact and syncs Entergram custom fields with contact properties, and no messages or notes sync. The Notion integration maps each chat to a row in one Notion database and syncs custom fields both ways, again with no messages. Both are useful for keeping deal data outside Telegram. Neither will hold a single line of what was said.

Raw analytics data is downloadable, and it is activity, not text

Entergram's Telegram analytics cover messages sent and received, response times, and busiest hours and days, and the raw analytics data can be downloaded. That gives you a durable record of messaging activity (volumes, timing and response times). It does not contain message text, so it shows that a conversation happened without showing what was said in it.

Entergram itself is not an archive

Entergram fetches messages live from Telegram and does not keep your message history in its database, only short-lived caches. Our security page explains that design. It is good for privacy and it means one thing for this guide: if a Telegram account is deleted, Entergram cannot show you its history either.

Layer What it keeps What it does not keep
Telegram cloud Cloud chats, on any signed-in device Secret Chats, deleted messages, anything after account deletion
Telegram export A snapshot of one account's chats, as HTML or JSON Later deletions or edits, other accounts, Secret Chats
Entergram Slack relay A running copy of chats a seat can access, in one Slack channel Replies from Slack, documented backfill of older history, confirmed post-deletion retention
Entergram edit and delete locks Your team's messages, unchanged, in Telegram The other party's deletions, actions from a phone signed into the same account
HubSpot and Notion syncs Custom field values per chat Message text
Entergram analytics download Message counts, timing, response times Message text

A Telegram backup routine for a team running several accounts

Put the pieces together in this order. Each step covers a gap the previous one leaves.

  1. Own the accounts. Business conversations belong on accounts the company controls, with two-step verification set and the recovery email pointing at a company inbox. Everything after this step assumes it.
  2. Take a baseline export of every account. Run "Export Telegram data" with both HTML and JSON, and move the folder into company storage the same day. Label it with the account and the date.
  3. Start a running record. Connect Slack per seat to a restricted channel, set the Slack retention period to match how long you need records, and test what happens to a message you delete on Telegram before you rely on it.
  4. Lock edits and deletes. Turn on the two message controls for every member who works customer chats, and tell the team they are on. A control people know about changes behavior. A hidden one becomes a trust problem the first time someone notices.
  5. Write the offboarding checklist before you need it. Final export of the person's accounts, sessions ended under Settings, then Devices, the member removed from the workspace.
  6. Keep business records out of Secret Chats. They are device-only by design. Use them for what they are for, and keep anything you may need to prove later in cloud chats.

One last caution: an export full of customer conversations is personal data in a file. If you operate in the EU or serve EU customers, decide where these files live and how long you keep them. Our Telegram GDPR guide covers retention schedules and subject access requests.

FAQ

How do I back up all my Telegram chats at once?

Install Telegram Desktop, sign in, and go to Settings, then Advanced, then Export Telegram data. Tick the chat types you want, set the media options and size limit, choose HTML, JSON or both, and click Export. Telegram may delay a full export for security reasons and notify your other devices, so you may have to come back and repeat the request from the same device.

Can I export a Telegram chat from my phone?

Telegram documents the export tool in Telegram Desktop, and that is where the "Export chat history" and "Export Telegram data" options live. The practical route is to install Telegram Desktop on a computer, sign in with the same account, and export from there. Your cloud chats are already on the server, so they appear on the desktop as soon as you sign in.

Are Secret Chats included in a Telegram export?

No. Telegram's FAQ says Secret Chats are device-specific and are not part of the Telegram cloud, and the export dialog does not list them among the chat types. If a Secret Chat matters, it exists only on the devices where it took place.

Does a Telegram export include deleted messages?

No. The export reads the chat as it is when you run it, so anything deleted for everyone before that moment is not there. Telegram has no way to recover a message once it has been deleted for both sides. See our guide to Telegram deleted messages for how teams keep a record before deletion happens.

Does Entergram back up my Telegram messages?

No. Entergram shows messages live from Telegram and does not keep message history in its database. What it adds is a running copy in Slack through the one-way audit relay, locks that stop workspace members editing or deleting messages, and downloadable analytics data that records activity but not message text.

If someone deletes a Telegram message, does the copy in Slack survive?

That has not been confirmed. The Slack relay is one-way from Telegram into one channel per seat, and what happens to a Slack copy after a Telegram-side deletion is decided in Entergram's backend. Test it in your own workspace before you depend on it, and pair it with the delete lock, which stops the deletion inside your workspace in the first place.

Should I choose HTML or JSON for a Telegram chat export?

Choose HTML if a person will read the file and JSON if a program will. If the export might ever end up in a dispute, select both. The extra disk space costs less than exporting again after the chat has changed.

Your next decision is which account to export first

Pick the Telegram account whose loss would hurt most this quarter. That is usually the one a single rep holds, on their own number, with your largest clients in it. Run "Export Telegram data" on it today, in both formats, and put the folder in company storage. Then decide whether that account should stay under one person's control at all. If the answer is no, the next step is moving it into a workspace where the edit and delete locks apply and the Slack relay starts recording.
